The System is designed to provide a secure, confidential channel for reporting workplace concerns including but not limited to:
- Harassment and bullying
- Discrimination
- Health and safety violations
- Fraud and misconduct
- Policy violations
- Other workplace concerns
3. User Responsibilities
3.1 Accurate Information
Users agree to provide truthful, accurate, and complete information when submitting reports. Knowingly providing false information may result in disciplinary action and/or legal consequences.
3.2 Good Faith Reporting
All reports must be made in good faith. The System should not be used for:
- Personal vendettas or revenge
- Knowingly false accusations
- Harassment of individuals
- Any illegal purposes
3.3 Confidentiality
Users who receive information through the System in their professional capacity (investigators, administrators) must maintain strict confidentiality regarding all case information.
4. Anonymous Reporting
The System allows for anonymous reporting. Users choosing to report anonymously understand that:
- Their identity will be protected to the fullest extent possible
- Anonymous reports may limit the organization's ability to investigate fully
- Follow-up communication requires retention of the provided access code
- Loss of access code may result in inability to access report status
5. Data Protection and Privacy
Your use of the System is also governed by our Privacy Policy, which describes how we collect, use, and protect your information.
6. Investigation Process
By submitting a report, you acknowledge that:
- The organization will review and may investigate your report
- Investigation timelines may vary based on complexity
- You may be contacted for additional information if you provided contact details
- The organization will determine appropriate actions based on investigation findings
7. No Retaliation Policy
The organization maintains a strict no-retaliation policy for good faith reporting. Any retaliation against individuals who make good faith reports should be immediately reported through the System.
8. System Availability
While we strive to maintain 24/7 availability, we do not guarantee uninterrupted access to the System. Scheduled maintenance and unforeseen technical issues may occasionally affect availability.
9. Intellectual Property
All content, features, and functionality of the System are owned by the organization and are protected by international copyright, trademark, and other intellectual property laws.
10. Limitation of Liability
The System is provided "as is" without warranties of any kind. The organization shall not be liable for any indirect, incidental, or consequential damages arising from the use or inability to use the System.
11. Modifications to Terms
We reserve the right to modify these Terms & Conditions at any time. Changes will be effective immediately upon posting. Continued use of the System after changes constitutes acceptance of the modified terms.
12. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with applicable local and international laws, without regard to conflict of law provisions.
13. Severability
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
